Purpose:
The reception desk is based in the heart of the agency and the first impression our guest and clients get from us. This is a fulfilling, varied position that needs commitment and enthusiasm along with genuine “people skills”.  
 
Responsibilities:

  • Being the face of the agency
  • Answer all calls in friendly helpful manner and direct appropriately 
  • Welcome all guests, meet and greet clients and visitors, provide refreshments and ensure best possible client experience 
  • Set up meeting rooms, arrange refreshments, lunches and breakfasts for meetings
  • Set up of workshops 
  • Manage internal meeting calendar and be able to move meetings around as/when requested
  • Work with the Front of House Co-ordinator to ensure that the reception space is clean, tidy and create a welcoming impressive interactive reception experience
  • Order the office weekly food shop and stationary shop
  • Record all OS purchases in OS budget tracker
  • Set up the office breakfast and afternoon brain food 
  • Stock and monitor all kitchen and stationary supplies 
  • Ad-hoc run outs and errands 
  • Organise and manage milk and fruit delivery
  • Manage and track the welcome board
  • Administer all office post and couriers
  • Assist with agency travel, taxis and flight bookings
  • Courier bookings
  • Issue locker keys / bike fobs and manage spreadsheet 
  • Raise PO’s using Paprika financial software 
  • Work with the office manager to manage phone system, conference call lines and staff mobile phones
  • Assist in agency culture events/activities
  • Party planning alongside Head of Office Services for summer and Christmas 
 
Skills and Experience:

  • Energetic, outgoing, welcoming, engaging personality together with excellent telephone manner and presentation is essential. 
  • Good working knowledge of using MS Office to a competent level within an office environment, especially MS Word, Excel and Gmail calendar systems  
  • Ability to work largely on own initiative 
  • Positive and friendly persona 
  • Excellent time-keeping skills
  • Experience of greeting guests and visitors and making them feel welcome in a positive and friendly manner 
  • Experience of basic clerical duties and office procedures 
  • Approachable with good interpersonal skills 
  • Ability to promote a positive image of the company to the customer
  • Excellent attention to detail, 
  • Confident handling people and situations without getting flustered or impatient.
